About the role

We are looking for a full-time medical secretary / administrator for our pain clinic in Moscow. Two doctors work at the clinic. You will support them and keep the practice running smoothly: booking appointments, documentation, correspondence, and day-to-day admin support. This is a dynamic role with about 100 patient contacts per week. Strong organisation, communication, and a patient-first mindset are essential.

Key responsibilities

  • Support doctors with procedure planning, booking, and related clinical documentation.
  • Manage referrals, waiting lists, and appointment schedules to maximise doctor capacity and minimise timetable conflicts.
  • Work with insurance companies: treatment authorisations, procedure approvals, and reimbursement support.
  • Work closely with clinic doctors and take part in regular team meetings.
  • Prepare and send letters, reports, prescriptions, referrals, and other correspondence for doctors.
  • Identify opportunities to improve admin processes and support efficient clinic operations.
  • Maintain accurate documentation and support audit, accreditation, and quality-control activities.
  • Monitor and restock clinic supplies, including medications and office stock.

Essential requirements

  • At least 2 years’ experience in administration, medical admin, customer service, patient-facing work, or a similar office role.
  • Fluent English with excellent written and spoken communication skills.
  • Excellent organisational and time-management skills, with the ability to handle several tasks at once.
  • High accuracy, attention to detail, and respect for confidentiality.
  • Clear telephone manner and a patient-centred approach.
  • Problem-solving skills, initiative, and the ability to work in a multidisciplinary team.
  • Ability to work under pressure in a busy clinical environment.
  • Tact, confidentiality, and professionalism when dealing with patients and sensitive information.
  • Openness to feedback and continuous professional development.

Desirable

  • Experience in a medical setting.
  • Knowledge of medical terminology.
  • Experience with electronic medical systems.
  • Experience working with insurance companies.
  • Experience in a private consulting clinic.
  • Pharmacy technician qualification is an advantage.

Working hours

Monday–Friday, 08:30–17:30, on site. Remote work is not available because the practice is patient-facing. The candidate must be available throughout clinic opening hours from the start to the end of the shift.
